1. About Pilot Terms and Conditions

These Terms & Conditions apply to you as a drone pilot, operator or company (“Pilot”, “you”, “your”) when you create, maintain or use a profile on the DronePilotsUK website (“we”, “us”, “our”, “the Site”).

By registering or maintaining a profile, you agree to these Terms in full.

2. Nature of the Platform and Relationship

  • The Site is a directory and introduction platform that connects potential clients with independent Pilots.
  • You act at all times as an independent contractor / operator, not as an employee, agent, partner or representative of DronePilotsUK.
  • Any agreement for services (including scope of work, price, timing, deliverables and payment) is between you and the client only. The Site is not a party to that contract and does not oversee or manage your work.

3. Eligibility and Regulatory Compliance

By registering as a Pilot, you confirm that:

  • You meet all legal and regulatory requirements for the drone work you offer, including any Civil Aviation Authority (CAA) rules and applicable UK/European regulations for unmanned aircraft operations.
  • You will only carry out work that you are legally permitted to undertake (e.g. correct category, authorisations, flight permissions).
  • You will keep yourself informed of changes to applicable laws, regulations and guidance, and will adjust your operations accordingly.

You are solely responsible for:

  • Obtaining and maintaining any required CAA registration, competency certificates, or operational authorisations.
  • Ensuring each flight is planned and conducted safely and legally.

4. Insurance Requirements

To be listed on the Site, you must:

  • Hold appropriate insurance for the work you carry out (for example, commercial drone insurance that meets applicable legal/industry standards, including public liability cover).
  • Provide accurate insurance details during registration, including insurer, policy number, and current expiry/renewal date.
  • Upload or provide copies of insurance documents on request.

You agree to:

  • Maintain valid insurance at all times while listed and while undertaking any work obtained via the Site.
  • Immediately update your profile and notify us if your insurance lapses, is cancelled, or materially changes.
  • Not accept work through the Site when you do not have valid, adequate insurance.

If your policy renews automatically (e.g. monthly auto‑renewal), you are responsible for:

  • Ensuring premiums are paid and cover actually remains in force.
  • Updating the Site with the current renewal/expiry date and any new documents when requested.

We may, but are not obliged to:

  • Request updated proof of insurance periodically.
  • Temporarily hide, suspend or remove your profile where insurance cannot be verified or appears out of date.

You acknowledge that:

  • The Site may display your insurance status based on your declarations and documents, but cannot guarantee ongoing cover to clients.

5. Accuracy of Information and Profile Content

You are responsible for all information you provide to the Site, including:

  • Company/pilot name, contact details and service descriptions.
  • Qualifications, permissions, experience and equipment details.
  • Insurance information and supporting documents.

You agree that:

  • All information you provide will be truthful, accurate and not misleading.
  • You will keep your profile up to date, especially when there are changes to qualifications, approvals, insurance, or services offered.
  • You will not falsely claim qualifications, approvals, authorisations or endorsements you do not hold.

We may edit, hide or remove any content or profile that appears inaccurate, misleading, inappropriate or in breach of these Terms.

6. Conduct, Safety and Client Dealings

When using the Site and dealing with clients found via the Site, you agree to:

  • Communicate professionally and respectfully.
  • Assess each proposed job for legality, safety, and suitability, and refuse or adapt work where necessary (for example, due to airspace restrictions, weather, bystander safety or legal constraints).
  • Clearly explain to clients what is and isn’t possible, including any limitations required by law, safety or insurance.
  • Put in place appropriate written agreements with clients (scope, pricing, deliverables, cancellation terms, and liability allocation) where appropriate.

You must not:

  • Use the Site to solicit unlawful, unsafe, non‑compliant or uninsured operations.
  • Agree to or perform flights that breach CAA rules, other applicable regulations, or your insurance conditions.
  • Misuse client data obtained via the Site (for example, spamming, selling or passing it to third parties without a legal basis).

7. Fees and Payments

  • The Site may charge pilots an annual or periodic fee for listing and related services; any such fees will be stated separately.
  • Fees paid to the Site cover directory and platform services only. They do not cover insurance, regulatory fees, or any operational costs.
  • All fees to and from clients for drone work are agreed directly between you and the client. The Site does not handle client payments or act as an intermediary.

You are responsible for:

  • Invoicing clients, collecting payment, and dealing with any disputes or chargebacks.
  • Meeting your own tax, VAT and accounting obligations.

8. Data Protection and Privacy

  • You acknowledge that your profile information will be visible to users of the Site and may be indexed by search engines.
  • The Site will process your personal data in accordance with its Privacy Policy (separate document).
  • You are independently responsible for complying with data protection laws (such as UK GDPR) when handling client data you receive from enquiries through the Site.

You agree to:

  • Use client data only for responding to enquiries and providing agreed services.
  • Keep client information secure and not retain it longer than necessary for legitimate purposes.

9. Platform Control, Suspension and Removal

We may, at our discretion, without prior notice:

  • Edit, suspend or remove your profile, or restrict your access to parts of the Site, where we reasonably believe that:
    • Your information is inaccurate, misleading or out of date.
    • You have no valid insurance or are operating outside the scope of required cover.
    • You have breached these Terms, applicable laws or regulations.
    • There are serious complaints or credible evidence of unsafe or improper conduct.
  • Carry out basic checks or request further information or documents.
  • For SEO reasons we may, from time to time, assess and modify (edit) profiles to make improvements in search engine results (SERPS)

We are not obliged to accept any application for registration, and may decline or terminate profiles for any reasonable reason.

10. Disclaimers and Limitations of Liability

You acknowledge and agree that:

  • The Site provides no guarantee of enquiries, bookings, income or visibility.
  • The Site does not guarantee the accuracy or completeness of client enquiries or third‑party information.
  • You use the Site and take on work at your own risk.

To the fullest extent permitted by law:

  • We are not liable to you for any loss of profit, revenue, contracts, goodwill or any indirect or consequential loss arising from:
    • Use or inability to use the Site.
    • Client behaviour, non‑payment, disputes or cancellations.
    • Regulatory changes, enforcement actions, or insurance issues relating to your operations.
  • Our total liability to you arising out of or in connection with the Site and these Terms is limited to the total amount of fees you have paid to us in the preceding 12 months.

Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot lawfully be excluded.

11. Intellectual Property and Use of Branding

  • The Site’s name, logo and branding are owned by or licensed to DronePilotsUK.
  • You may reference or link to your profile on the Site, but must not present yourself as owned, controlled, or formally endorsed by DronePilotsUK beyond being listed as a verified or registered pilot, where applicable.
  • Any use of DronePilotsUK branding in marketing must not be misleading and may be subject to withdrawal if misused.

12. Changes to the Site and These Terms

  • We may update or modify the Site, including functionality, listing criteria or fees, at any time.
  • We may update these Terms from time to time. When updated, the new version will be posted on the Site with an updated “last revised” date.
  • Your continued use of the Site and maintenance of a profile after changes are published constitutes acceptance of the updated Terms.

13. Governing Law and Jurisdiction

These Terms and any dispute or claim arising out of or in connection with them or your use of the Site are governed by the laws of England and Wales.

The courts of England and Wales will have non‑exclusive jurisdiction over any such dispute or claim.

14. Acceptance

By registering a pilot profile, maintaining it, or responding to client enquiries through DronePilotsUK, you confirm that you:
